JOB DESCRIPTION

tinyOGRE Entertainment – Coordinator
Location: New York, NY
Dual report to: COO and VP, Marketing & Sales

Fast-paced entertainment start-up seeks Coordinator to directly support Marketing & Sales Operations and Business and Legal Affairs. The position requires frequent interaction with all staff and is an ideal opportunity for candidates with experience in (i) sales and/or production (physical or digital); (ii) law firm or in-house legal department.

Responsibilities include, but are not limited to:

I. Marketing & Sales Operations
– Work with tOE team to establish release schedule for physical and digital product (including CDs, digital albums and tracks, ringtones and ringbacks, video, and streaming product)
– Work closely with distribution company production and operations teams to ensure all new releases are set up properly (domestic and international), including any release restrictions, exclusivity and/or album-only tracks
– Check key digital services to ensure new content and promotions launch on schedule; work closely with distribution company account managers and operations teams to correct problems
– Maintain production deadlines on all releases by communicating daily with tOE staff and artist management as needed
– Lead regular production meetings with label and artist managers
– Manage timely delivery of all release assets into distribution company systems and other partners, as needed
– Issue weekly release schedules and inform parties of key changes
– Enter label copy information, product metadata, release dates, territory, exclusivity, copyright clearance, and master clearances in various databases
– Monitor product status information
– Produce weekly reports summarizing and interpreting sales, online and other trends to evaluate ongoing campaigns
– Create tools and collaterals to assist tOE staff in pitching key releases; produce partner release schedule, organize ongoing discussions and write label new release summaries to send to partners
– Assist in developing marketing and sales campaign ideas for tOE artists

II. Business and Legal Affairs
– Liaise with A&R and artist managers, as needed, to track all clearances related to product release
– Typing and revising legal agreements
– Scanning and filing of agreements
– Distributing agreements and related correspondence including preparation of cover letters, cover memos and fax cover sheets
– Track deal termination and renewals

III. Administration
– Telephone support for supervisors, along with back-up coverage for other executives
– Maintaining contact lists
– Maintain day-to-day calendar; coordinate schedule of meetings and conference calls
– Completing expense reports
– Manage travel arrangements
– Sort mail, order office supplies and manage any and all office and facilities-related duties
– Liaise with tech vendor to address communication and network needs and issues

Skills / Requirements
College degree
2 to 3 years of work experience
– Ability to handle many multi-phased, time-sensitive projects simultaneously and advise tOE executives and artist management of revised deadlines
– Detail-oriented with ability to enter data with 100% accuracy, adaptable and able to foresee and mitigate potential issues relating to release planning and production
– Ability to drive projects from initiation to completion independently
– Professional demeanor; strong oral and written communication skills, including the ability to communicate independently with external partners, internal tOE and distribution company operations staff
– Ideal candidate will have experience in sales, production, digital or physical supply chain area and working with legal documents
– Familiarity with Sony Ops systems and procedures and knowledge of audio and/or video production and artwork production a plus
– Working knowledge of Microsoft Word and Powerpoint, advanced proficiency in Excel
– Proficiency with common internet tools and practices
– Must be versatile with ability to wear many hats, so to speak
