Position Summary: This is an entry level position. The ideal candidate will undertake a wide variety of tasks and responsibilities including but not limited to office management; clerical functions; screening calls; managing calendars; making travel and meeting arrangements.
Requires strong computer skills, flexibility, excellent interpersonal skills and the ability to work well with all levels of internal management and staff, as well as outside clients and artists. Sensitivity to confidential matters is required.
Core Job Tasks: Manage and maintain two executives’ schedules, appointments and travel arrangements Perform day-to-day administrative tasks, including runs to post office and UPS/Fed Ex Monitor, screen, respond to and distribute incoming communications, especially email communications Liaise with internal staff at all levels Co-ordinate projects with staff Arrange and co-ordinate meetings Record, transcribe and distribute minutes of meetings Act as the office manager for our Brooklyn office, managing maintenance &repairs, managing relationships with tenants, managing office supplies, and being primarily responsible for maintaining an optimal workplace environment for all employees Greet scheduled and unscheduled visitors to the office Ideal Candidate will Possess: Organizational and planning skills Communication skills Information gathering and monitoring skills Problem analysis and problem solving skills Judgment and decision-making ability Initiative Confidentiality Team member Attention to detail and accuracy Adaptability Passion for music, familiarity with Secretly Group artist roster\ Previous office experience a plus
